— In short

SolvSpot provides AI automation consulting and hands-on build services for growing businesses. We map how your team works, pick the workflow where automation pays back fastest, and build it on tools you own: n8n, custom code and leading AI models. A single automation takes about two weeks and starts from $4,800. Every build includes monitoring, documentation and a 30-day fix window.

#What AI automation looks like in practice

Most teams don't need an AI strategy deck. They need a few hours back every week. AI workflow automation is how you get them: a piece of repetitive work gets picked up by a system that reads, decides, acts and asks for help when it isn't sure.

A few examples of the kind of workflow we build:

  • New lead handling. A form is submitted. The system looks up the company, scores the fit against your criteria, routes it to the right person and drafts a first reply for them to send.
  • Shared inbox triage. Incoming email is read, categorized and answered from your own knowledge base, with anything unusual passed to a person.
  • Document data extraction. Invoices, contracts or application forms arrive as PDFs. The details are pulled out, checked and entered into your system, with uncertain fields flagged for review.
  • Weekly reporting. Numbers are gathered from several tools, summarized in plain language and delivered on Monday morning without anyone building a spreadsheet.
  • Customer onboarding. Accounts are set up, welcome messages sent, tasks created and follow-ups scheduled, the same way every time.

Each of these follows the same pattern: something arrives, a judgment is made, something is produced. If a task in your business has that shape and happens often, it is probably worth automating.

#How an engagement runs

We work one workflow at a time. It keeps the scope clear, gets something useful running quickly, and lets you judge the result before committing to more.

#Week 1: map, build, test

  • We sit down with the people who do the work today and map it step by step: what comes in, what decisions get made, what goes out.
  • We agree the target in plain numbers, for example hours saved per week or response time.
  • We build a working version and run it against real examples from your business, so you can see its decisions next to the ones your team would have made.

#Week 2: make it dependable, hand it over

  • We tighten the logic based on what the tests showed, and add review steps where a person should stay involved.
  • We add monitoring, alerts, spending limits and an off switch.
  • It goes live on real work. We watch it closely for the first days.
  • We hand over the documentation and walk your team through it.

You see progress in a short demo each week, and you can reach us in a shared channel throughout.

#What every automation ships with

A clever demo and a dependable system are different things. These are the parts that make the difference, and they are included every time.

ConcernWhat you get
Safe to re-runProcessing the same item twice never sends a duplicate email or creates a duplicate record.
Handles failuresTemporary errors are retried automatically. Persistent ones alert a person instead of failing silently.
A full recordEvery run is logged with what came in, what was decided and why, so any result can be checked later.
Spending limitsDaily and monthly caps on AI usage, with an alert before a limit is reached.
Human handoverAnything the system is unsure about goes to a person, in the channel your team already uses.
An off switchOne setting pauses the automation in seconds. We test it before launch.
Clear running costsA simple report showing what the automation costs to run each month.

#Tools we build with

We are vendor-neutral, and we choose tools so that you own the result.

  • n8n for most business workflows. It is visual, so your team can read and adjust it, and it can run in your own account.
  • LangGraph or custom code when a workflow needs several reasoning steps, memory or careful control over what the AI is allowed to do.
  • OpenAI, Anthropic or open models depending on the task. The model sits behind a small interface, so switching provider later is a settings change, not a rebuild.

If you already use Zapier or Make and it is working, we can build on that too.

#One workflow, or a wider program

A single automation is the right size when there is one obvious time sink and you want to see results before going further. Most clients start here.

When there are several connected workflows, or you want a plan for where AI fits across the business, that is an AI implementation: a roadmap plus several builds delivered together, with shared monitoring and team training.

If you are not sure what to automate first, start with the AI Opportunity Audit. In one week you get a ranked list of opportunities with hours saved, cost and payback for each. You can also get a quick first estimate from the AI automation ROI calculator.

#When automation is not the answer

Part of good advice is saying when not to build. Automation tends to disappoint when a task happens only a few times a month, when the process changes every time it is done, or when a wrong decision would be costly and hard to reverse. In those cases AI usually works better as an assistant that drafts and suggests while a person decides. We will tell you which situation you are in before you spend anything on a build.

About 2 weeks per workflow

One workflow, automated end to end, starts from $4,800. Your proposal gives a single fixed price for your scope before any work begins. AI model usage and hosting are billed by the providers, and we estimate both for you up front.

What moves the price

  • How many tools the workflow touches
  • Whether those tools offer a proper API
  • How much human review the process needs
  • Volume: ten items a day, or ten thousand
  • Planning several workflows together lowers the cost of each

— Common questions

Everything we get asked, answered.

  • What is AI automation consulting?

It is the work of finding where AI and automation can take over repetitive tasks in a business, and then building and running those systems. Many consultancies stop at a recommendation. We do both halves: we help you decide what is worth automating, and then we build it.

  • Which processes are good candidates for AI automation?

Recurring work with a clear shape: something arrives, someone makes a judgment, something gets produced. Handling new leads, sorting a shared inbox, pulling data out of documents, preparing weekly reports, onboarding customers, processing invoices and triaging support requests are all common starting points.

  • Do we need to change the tools we use?

Almost never. We connect to the CRM, inbox, spreadsheets and documents your team already works in. The aim is for work to arrive finished in the places people already look, not to add another tool to check.

  • What happens when the AI gets something wrong?

We design for it from the start. Anything the system is unsure about goes to a person for review, every decision is logged with its reasoning so you can see why it happened, and there is an off switch that pauses everything in seconds. For higher-stakes steps the AI drafts and a person approves.

  • How do you keep AI running costs predictable?

You get a cost estimate before we start, based on your real volumes. We set daily and monthly spending limits with alerts, use smaller, cheaper models for routine steps, and keep the more capable models for the decisions that need them.

  • Could an off-the-shelf tool do this instead?

Sometimes, yes, and when it can we will say so and help you set it up. Custom automation earns its cost when the work involves judgment, spans several systems or touches sensitive data. Simple two-step connections rarely need it.

  • Can our team look after it once it is live?

Yes. You get documentation written for the people who will actually run it, covering the common changes step by step. If you would rather we keep an eye on it, ongoing support starts from $2,500 per month and is entirely optional.
